Every week brings files, emails, new jobs, and job lists. How much of this is different from the job you have done before? Odds are, not much. Many of our daily tasks are variants on something.
Do not reinvent the wheel every time you start something new. Rather, use templates–standardized documents with formatting and text as starting point. As soon as you save a separate version of the template add, remove, or change any info for that document, and you are going to have the new job.
Templates work everywhere: in word processors, spreadsheets, project management programs, survey programs, and email. Here’s how to use templates in your favorite apps–and to create documents from a template–so you can get your ordinary tasks done faster.
Programs take time to build, and it’s easy to wonder whether they’re worth the investment. The short answer: absolutely. Editing a template takes far less time than formatting some thing. It is the difference between copying and pasting some text, or retyping it.
That’s not the only benefit: Using a template means you’re not as likely to leave out key information, also. For instance, if you need to send freelance writers a contributor arrangement, changing a standard contract template (instead of writing a new contract each time) ensures you won’t leave out that crucial clause regarding possessing the content once you’ve paid for it.
Templates also guarantee consistency. Perhaps you send regular project updates to customers or investors. With a template, you understand the update will constantly have the same formatting, design, and standard arrangement.
How to Produce Great Templates
Not many templates are created equal–and a few things don’t need a template. Here are a couple of guidelines to follow.
First, templates should be comprehensive. It’s more easy to delete info than add it in, so err on the side of including too rather than too small.
Imagine you are developing a template of your own resume. You’d want to record details about your duties and accomplishments, so you are going to have.
You can always delete notes later on, but you may forget it in the final version when it’s not from the template.
Some applications will automatically fill in these factors for you (more on this in a little ). But should you need to fill in the information on your own, include some text that is easy and obvious to search for so you can locate.
